Premiering at the Women's Show —an inclusive alternative to the traditional in-person booth. Centrally located vendors can showcases products, services and sell direct in the cohesiveness of the tradeshow floor while creating a destination for discovery and connection from anywhere in the world that has reliable internet access.
IP Exhibitor/ Vendor Terms & Conditions
1. Application & Registration
All vendor applications are subject to approval by the event organizers.
The event organizers reserve the right to accept or decline any application at their sole discretion.
Submission of an application does not guarantee acceptance as a vendor.
Unless a sale booth where automatically registered, vendors will be notified of their application status via email within 1-3 business days.
Approved vendors must confirm their participation within 48 hours of approval notification.
2. Payment Terms
Summer Sale: Save 50% off regular price (valid until August 31, 2026)
Payment is due within 7 days of application approval to secure your booth space.
Accepted payment methods: E-transfer, Square online credit card, Wise, Certified Cheque, Invoice.
Booth assignment is confirmed only upon receipt of full payment.
All fees are in Canadian Dollars (CAD) unless otherwise stated.
3. Food & Beverage Policy
⚠️ IMPORTANT NOTICE:
Sale of food or drinks is NOT allowed at this location unless you have prior approval from the Empower Caribbean. Vendors wishing to sell food or beverages may require additional forms and/or permits and must provide proof of health department approval before the event.
4. Setup & Teardown
Setup Time: Provided to approved vendors
Event Hours: 11:00 AM - 6:00 PM
Teardown: Provided to approve Vendors
All vendors must be fully set up by 10:45 AM.
Vendors are required to stay for the entire duration of the event
Early departure without prior approval may result in disqualification from future events.
All booth areas must be cleaned and cleared 45 minutes after event hours
5. Booth Specifications & Requirements
Each vendor fee includes one 6 or 8-foot table and two chairs.
Vendors are responsible for bringing their own tablecloths, displays, and merchandising materials.
Booth space is approximately 10 feet wide by 10 feet deep or 10 feet wide by 7 feet deep in the aisle.
Displays must not extend beyond the assigned booth space.
Electrical outlets are available on a first-come, first-served basis (request during application).
Use of additional equipment (lighting, shelving, etc.) must not interfere with neighboring vendors.
6. Product Standards & Conduct
All products must be family-friendly to advertise in nature.
Products containing offensive, discriminatory, or inappropriate content are strictly prohibited.
Vendors must accurately represent their products and pricing.
Price gouging, misleading claims, or deceptive practices will result in immediate removal.
Vendors are responsible for complying with all applicable laws, including licensing and permits.
Aggressive sales tactics or harassment of attendees is prohibited.
7. Cancellation & Refund Policy
Vendor fees are refundable once paid before the deadline.
In the event of vendor cancellation, a partial refund (minus a $50 processing fee) may be issued if requested at least 45 days prior to the event date.
No refunds will be issued for cancellations made within 45 days of the event.
In the unlikely event of expo cancellation by the organizers, vendors will receive a full refund or credit toward a future event.
Event postponement due to unforeseen circumstances will result in automatic booth transfer to the new date, credit toward a future event or a full refund.
8. Liability & Insurance
Vendors participate at their own risk.
The event organizers are not responsible for loss, theft, or damage to vendor property, products, or equipment.
Vendors are responsible for securing their own booth and merchandise.
Vendors are strongly encouraged to obtain their own liability insurance.
International vendors are strongly encouraged to check with travel requirements prior to registering our staff is able to assist and can provided official travel letters to only paid & registered exhibitor
Vendors agree to indemnify and hold harmless the event organizers, venue, and their representatives from any claims arising from the vendor's participation.
9. Photography & Marketing
By participating, vendors consent to being photographed, live streamed or filmed during the event.
Event organizers may use photos and videos featuring vendors for promotional purposes.
Vendors grant the organizers the right to use their business name and product descriptions in marketing materials.
Vendors may promote their participation in the event on their own social media and marketing channels.
10. Prohibited Items
Security will be onsite and vendor booths may be subject to a random check
Weapons, firearms, or items that resemble weapons
Illegal substances or drug paraphernalia
Counterfeit or unlicensed products
Adult content or sexually explicit materials
Hate speech, discriminatory, or offensive materials
Pyramid schemes or multi-level marketing (MLM) recruitment activities
11. Compliance & Conduct
Vendors must comply with all venue rules and regulations.
Smoking, vaping, and consumption of alcohol are prohibited in vendor areas.
Vendors must maintain a clean and organized booth throughout the event.
Music or audio at vendor booths must be kept at a reasonable volume.
Violation of event rules may result in immediate removal without refund.
12. Force Majeure
The event organizers shall not be held liable for failure to perform obligations due to circumstances beyond their reasonable control, including but not limited to: acts of God, natural disasters, government restrictions, public health emergencies, venue unavailability, or other unforeseen events. In such cases, the organizers will make reasonable efforts to reschedule or provide refunds.
13. Amendments
The event organizers reserve the right to amend these terms and conditions at any time. Vendors will be notified of any significant changes via email. Continued participation after notification of changes constitutes acceptance of the revised terms.
